Start by checking the right report

Dun & Bradstreet, Experian, and Equifax maintain separate commercial files. An error in one does not prove the same error appears in the others.

Review the report tied to the decision you are preparing for and every bureau a vendor says it reports to.

What to review on a business credit report

Company identity

  • legal business name;
  • alternate names;
  • current and former addresses;
  • phone number;
  • entity type;
  • industry classification;
  • ownership or key personnel where shown; and
  • D-U-N-S Number or other identifiers.

Trade payment information

  • account or supplier category;
  • date reported;
  • balance;
  • high credit or highest balance;
  • payment terms;
  • current or past-due status; and
  • days beyond terms.

Public records and filings

Review liens, judgments, bankruptcies, collections, or Uniform Commercial Code filings where the report includes them.

Score factors

The score itself is not the only thing to inspect. Read the reasons or key factors that explain what information is influencing the result.

Build an evidence packet before you submit

A strong correction request is specific and documented.

Include:

  1. Legal business name and current contact information
  2. The bureau report or reference number
  3. The exact item you dispute
  4. A clear explanation of what is wrong
  5. The correction you are requesting
  6. Copies of supporting documents
  7. Vendor contact or confirmation when relevant

Useful documents can include state registration records, IRS notices, bank statements, invoices, receipts, account statements, cleared-payment records, and vendor correspondence.

Send copies, not irreplaceable originals.

Correcting a Dun & Bradstreet file

D&B provides D-U-N-S Manager and related business tools for owners to review and request updates to company information.

D&B also says businesses can dispute payment experiences for review and validation.

Use the existing D-U-N-S profile. Do not request a second number merely to escape an error in the first file.

Correcting an Experian business file

Experian directs owners or officers reviewing their own business report to the “Submit data dispute” function at the bottom of the online report.

Experian also lists its Commercial Relations support for business disputes. Follow the current instructions shown in the report or official support page.

Experian recommends reviewing key score factors because corrections to information named there may affect the business score.

Correcting an Equifax business file

Equifax’s business credit pages direct business owners to review the commercial report and dispute inaccurate information through Equifax business support.

Use the contact information tied to the commercial product or report. Do not submit a business-file problem through a consumer credit dispute form unless Equifax specifically directs you there.

Contact the vendor when the vendor supplied the data

If a payment amount, date, status, or business identity is wrong, ask the supplier to review what it submitted.

Provide the invoice number, payment date, account number, legal business name, and a copy of the relevant report entry.

For a tradeline that is not showing, confirm submission before filing a missing-data dispute.

What makes a dispute weak

The request is vague

“Fix my score” does not identify an inaccurate record.

The evidence does not match the request

A receipt may prove payment, but it may not prove which legal entity paid or which invoice the vendor applied it to.

The information is accurate but unwanted

A dispute process is not designed to remove accurate late payments or valid public records simply because they hurt.

Several errors are mixed together

List each item separately. Explain the correction and evidence for each.

The wrong channel is used

Consumer and commercial reporting processes are not interchangeable.

Track:

  • bureau;

Should I dispute with the vendor or the bureau?

When a vendor furnished incorrect trade data, contact both through their appropriate business channels. The vendor can investigate its submission, while the bureau controls the commercial file.

Can a bureau remove a correct late payment?

Do not expect an accurate negative record to be deleted merely because it is harmful. Provide evidence only when the information is inaccurate, incomplete, duplicated, or matched to the wrong business.

What if my company has duplicate files?

Contact the bureau with both profiles, the correct legal information, and documents showing they belong to the same business. Ask for the official merge or correction process.
